Customer-Led AI Innovation Is Reshaping Vocational Rehabilitation 

Vocational rehabilitation agencies do deeply human work: counselors build relationships, understand barriers, and guide people toward employment. But much of the infrastructure around that work remains highly manual: data entry, repetitive documentation, invoice reconciliation, and communication threads scattered across email and phone calls.

1. Participant Onboarding & Case Creation 

Intake is one of the most time-intensive stages of the participant journey and one of the most consequential, since RSA 911 reporting depends on accurate, complete data captured at the start. 

inFormed’s onboarding capability listens to voice and in-person participant interviews and pre-populates the case record in real time. Counselors review, correct, and approve every field before it enters the system. No information is saved until a counselor reviews and approves it. 

What it means for agencies: counselors spend more actual time with the participant in front of them, instead of behind a keyboard; forms are completed in minutes instead of hours; and agencies can reduce documentation time by 50–70%. 

2. Invoice Matching & Payment Authorization 

Vendor payments are a less visible but equally important administrative burden. Matching invoices to expected amounts, checking for discrepancies, and preparing payment authorization has historically taken hours of staff time per cycle. 

inFormed’s invoice matching capability handles that reconciliation automatically, flagging discrepancies and generating a payment authorization ready for human sign-off. 

What it means for agencies: processing time drops from roughly two hours to under five minutes per invoice, with increased accuracy, more small businesses paid on time, more reliable budget visibility, and a human still authorizing every payment. 

3. HOOT: Secure, Always-On Vendor Communication 

Coordination between the state, vendors and participants often happens across disconnected channels: email, phone, paper. HOOT brings that communication inside inFormed: a secure, always-on messaging layer built for two-way conversation with vendors and other stakeholders. 

What it means for agencies: faster response times, a documented communication trail, and end-to-end encryption that meets HIPAA and financial data compliance requirements. 

The Common Thread: Human-in-the-Loop, By Design 

None of these capabilities make decisions that affect participants on their own. Every output — a pre-filled case record, a payment authorization, or a flagged discrepancy — passes through a person before it becomes final. That’s not a limitation of the technology; it’s the design principle behind it.
